Receive serialized equipment and trace its source

Create a Material Receipt Stock Entry and choose the target warehouse. Select the serialized stock item and received quantity. In Add Serial Nos, enter each physical serial on its own line, then choose Add Serial Nos. Do not assign a serial that is already in stock.

Before you start

Use your authorized ERP account and the correct company. These screenshots use fictional staging records. Replace the example quantities, dates, warehouses and values with your approved business information. Submission affects the relevant workflow or stock ledger; review the draft first.

ERP links open in a new tab. Sign in with your own account; record visibility, actions and approval authority follow your assigned permissions. Screens can differ by company and configuration.

Addresses used in this tutorial

ERP_URL is your organization’s ERP address. ACADEMY_URL is the Academy base address: staging uses https://erpstaging.nexcommand.ai/academy; production uses https://academy.nexcommand.ai. Saved record IDs and temporary draft IDs differ between installations. Course IDs and element IDs in the example are not portable to another installation.

Step-by-step instructions

Step 1 of 8

Allocate the actual serial

Create a Material Receipt Stock Entry and choose the target warehouse. Select the serialized stock item and received quantity. In Add Serial Nos, enter each physical serial on its own line, then choose Add Serial Nos. Do not assign a serial that is already in stock.

Example / selection
NC-DEMO-SERIAL-EQUIPMENT; NC-DOCS-SERIAL-001; Receiving
Expected result
The receipt allocation identifies the individual unit.
Expected URL expression{ERP_URL}/desk/stock-entry/new-stock-entry-{TEMP_ID}

Step 2 of 8

Review the allocation quantity

If the allocation dialog warns that its row count differs from Qty to Fetch, compare the physical units, entered serials and intended receipt quantity. Confirm only when the resulting quantity is correct; otherwise return and correct the allocation.

Example / selection
One serial; resulting quantity one
Expected result
The allocation count agrees with the intended receipt.
Expected URL expression{ERP_URL}/desk/stock-entry/new-stock-entry-{TEMP_ID}

Step 3 of 8

Save and review valuation

Review quantity, warehouse and Basic Rate after allocation. Leave edited numeric fields to commit their value. Save and check the receipt total before submitting; the allocation may save the draft before valuation is complete.

Example / selection
MAT-STE-2026-00008; 1 Nos at USD 500
Expected result
The saved draft has the reviewed quantity and value.
Expected URL expression{ERP_URL}/desk/stock-entry/{RECORD_ID}

Step 4 of 8

Confirm stock posting

Choose Submit and confirm the reviewed transaction. Submission creates the inventory movement; the earlier serial registration alone did not.

Example / selection
MAT-STE-2026-00008
Expected result
The serialized stock movement is authorized.
Expected URL expression{ERP_URL}/desk/stock-entry/{RECORD_ID}

Step 5 of 8

Verify Submitted

Check the permanent voucher, Submitted status, item, warehouse, quantity and rate.

Example / selection
One serialized instrument; USD 500
Expected result
The receipt is posted.
Expected URL expression{ERP_URL}/desk/stock-entry/{RECORD_ID}

Step 6 of 8

Check serial availability

Open Serial No and select the received identifier. Check its item, Active status and warehouse. Warranty status and inventory status are separate. Read valuation from the posted receipt and serial ledger rather than inferring it from a master field.

Example / selection
NC-DOCS-SERIAL-001; Active; Receiving
Expected result
The individual unit is available in its recorded warehouse.
Expected URL expression{ERP_URL}/desk/serial-no/{RECORD_ID}

Actual staging capture. Personal identity masked; the captured application viewport is retained. Scroll position follows the action shown.
Step 7 of 8

Follow the source document

Scroll to Source Document. Review Source Document Type, Source Document Name and Posting Date. The voucher link returns to the source receipt.

Example / selection
Stock Entry; MAT-STE-2026-00008
Expected result
The serial is linked to its source stock transaction.
Expected URL expression{ERP_URL}/desk/serial-no/{RECORD_ID}

Actual staging capture. Personal identity masked; the captured application viewport is retained. Scroll position follows the action shown.
Step 8 of 8

Inspect the serial movement ledger

Choose View Ledgers. Verify item and serial filters and the as-of date/time. Review the linked voucher, warehouse, status, quantity and valuation rate; scroll the report horizontally for columns beyond Serial No.

Example / selection
MAT-STE-2026-00008; quantity 1; valuation 500
Expected result
The serial ledger agrees with the posted receipt.
Expected URL expression{ERP_URL}/desk/query-report/Serial%20No%20Ledger

Actual staging capture. Personal identity masked; the captured application viewport is retained. Scroll position follows the action shown.

Verified result

The staging receipt was submitted for one unit at USD 500. NC-DOCS-SERIAL-001 became Active in Receiving and referenced the receipt. Its serial ledger showed MAT-STE-2026-00008, quantity one and valuation rate 500. Transfer, issue, return and warranty claims are later lifecycle actions and were not exercised by this receipt walkthrough.

Troubleshooting

Wait for Link search results and choose the exact record. Leave each edited field to commit its value. Check required dates in every item row. A saved draft and a submitted record are different states. If validation fails, correct the highlighted field and verify the saved result before continuing.
